Summary: Customers using the Zoe AP Intelligence Agent can use ‘tools’, which are pre-built queries and response formatting designed specifically for AP finance teams. The GRNI Balance Tool provides an accurate GRNI balance and reconciliation report using your Netsuite and ZoneCapture data.
Note: Zone Control Center and Zoe mimic each user's NetSuite and Zone permissions. If users have limited access to NetSuite and Zone solution data, those permissions will be automatically applied within Zone Control Center. Therefore customers will not be able to query or see data that they do not normally have access to view.

What is the GRNI (IRNB) Balance Tool?
The GRNI Balance tool is a standard part of the Zoe AP Intelligence agent.
GRNI (Goods Received, Not Invoiced) may also be called IRNB (Inventory Received, Not Billed) depending on how your chart of accounts is labelled.
The GRNI Balance Tool returns the true outstanding balance up to the date you specify, reconciled for Purchase Orders, Goods Receipts, and Vendor Bills.
This is the net position for what's still received-but-unbilled, after everything else has been cleared and excluded.
Why did we build this?
Under accrual accounting, NetSuite posts a liability the moment goods are received, before a vendor bill ever arrives. That liability sits in your GRNI/IRNB account until the bill comes in and clears it out.
Finance teams have traditionally reconciled this manually: pulling the GL detail, tracing each line back to its PO and receipt, and figuring out what's real versus stale. Most teams export saved searches and reports before manually reconciling them - which is time consuming and prone to errors. The GRNI Balance tool automates that reconciliation.
How does reconciliation work?
- Source of truth: the tool sums all posting activity on the GRNI/IRNB account as of your chosen date. Only two transaction types post to this account under standard configuration: Item Receipts (credits) and Vendor Bills (debits), plus any Vendor Credits, returns, or journal entries a customer's setup includes.
- Matching logic: NetSuite links both receipts and bills back to the PO line (not to each other). The tool reconciles per PO line: receipt amount − billed amount = net residual. Summing every line's residual, plus anything that can't be matched to a PO/receipt/bill chain, equals the account balance.).
- Unmatched bucket: journal entries, write-offs, and migration opening balances posted directly to the account are surfaced separately, since they're not part of a PO chain and need manual review.
- Currency: amounts are reported in subsidiary base currency, with transaction currency shown alongside. FX rate differences between receipt and bill never post to GRNI; they go to a separate variance account, so they don't distort the balance.
- Scope: only Item Receipts for inventory and non-inventory/expense items configured to post to GRNI/IRNB are included. A receipt that doesn't hit that account (e.g. accruals turned off for that line) correctly contributes nothing to the balance, even if it looks received-but-unbilled on the PO itself.
When can the GRNI Balance Tool be used?
The GRNI Balance Tool can be used to efficiently and accurately handle the following scenarios:
- Fully received, unbilled POs
- Partially received or partially billed POs
- Multiple Goods Receipts against a single PO line
- Multiple Bills against a single receipt
- Credit notes reducing previously invoiced amounts
- Bill reversals or cancellations
- Returns to supplier
- Foreign currency POs
How Do I Use the GRNI Balance Tool?
The tool operates entirely within the Zoe AP Intelligence Agent.
- Within NetSuite, navigate to Zone Control Center and open the Zoe AI Agent. (Learn how here.)
- Use the following Zoe prompt: Run GRNI balance as of [date]
- Feel free to complete other tasks while Zoe runs the analysis off to the side. The length of time this will take depends on the quantity of data being analyzed and the speed of your NetSuite account.
- When Zoe has finished, review the response.
Note that the prompt must be used each time the report is needed. The query cannot be scheduled at this time.
What response does the tool provide?
When you ask Zoe to run the GRNI Balance Tool for a specific date, the AI agent returns a summary with the net position or true GRNI balance for your account. In addition, Zoe provides a custom downloadable CSV file that can be opened in Excel or GoogleSheets. This report gives finance the transparency and details needed to audit their GRNI balance sheet.
Each row represents a PO line, with its full receipt and billing history:
- Purchase Order fields: PO number, supplier, subsidiary, currency (transaction and base), PO date, PO line number/item/description, GL account, department, class/site, quantity ordered/received/billed, outstanding quantity, amount ordered/received/billed.
- Goods Receipt fields: receipt number, receipt date, receipt line, quantity received, amount received.
- Position fields: outstanding amount (the net residual), age in days, and an aging bucket (current / 31–60 / 61–90 / 91–120 / 120+ days), measured from the last receipt date that hasn't yet been matched to a bill.

What part of the GRNI process still requires a human touch?
The GRNI Balance Tool in the AP Intelligence agent automates the matching and aging work that typically takes the most manual effort for finance teams. However, genuine unmatched items (write-offs, opening balances, manual JEs) still require human review and judgment.
Reminder that Zoe AI agents don’t have write/execution capabilities at this time. The GRNI Balance Tool will not change or post anything in NetSuite, this is a read-only tool.
